To reserve a meeting room and related meeting services, Non-governmental organizations (NGOs) need to complete the following booking request form and submit a meeting agenda and concept note to be sent  by email to the NGO Liaison Unit at least 6 weeks prior to the planned date of the meeting. Depending on availability, a room will be assigned to you and reserved by the NGO Liaison Unit.

Rooms may be made available for the following purposes: 

  • Consultations with the Secretariat and/or Governments and/or other Non-Governmental Organizations on matters related to the concerns of the Economic and Social Council of the United Nations (ECOSOC);
  • Meetings, seminars, and conferences related to the concerns of the Economic and Social Council of the United Nations (ECOSOC) and involving the participation of one or more sections of the Secretariat.
  • Meetings, seminars, conferences, and consultations related to the procedures of consultative status.

Rooms cannot be made available for NGOs to:

  • Conduct their own organizational business;
  • Advance their own purpose

FAQs

Meetings are held from 10 a.m. to 1.00 p.m. and 3.00 p.m. to 6.00 p.m. on working days. Meetings cannot be scheduled during weekends, on official holidays or after 6.00 p.m.

Room bookings can be canceled. However, cancelations should be made as early as possible to allow other clients to benefit from the conference room, especially considering the current shortage of conference rooms. Additionally, requested services bearing a cost need to be canceled two weeks prior to the planned meeting date. If not, costs may still be incurred due to commitments made to the service providers (e.g., recruitment of qualified staff).

You are welcome to indicate your preference for a specific conference room. Room allocation depends on room availability, and the queried conference room may not be available. The UN Geneva Meetings Management Section will always assign the best available option.

Yes, NGOs can organize hybrid meetings at UN Geneva using a platform for remote meetings called WebEx or Zoom. Some participants are physically inside the conference room and other participants attend remotely using an online link (provided earlier by the meeting organizer). The NGO must have a dedicated and experienced person to handle WebEx. This is a paid service. The hybrid meeting can only take place while using UNOG license for WebEx or Zoom.
